Room List Guidelines

Follow the guidelines below to successfully complete your room list.  It is CRITICAL that we receive your completed room list by the due date to secure rooms for your group.

ADULTS 

1. All adults (including yourself) should be placed in a double room unless individual has paid single, triple, or quad occupancy price.
2. If you have an uneven number for adults, any adult may:
1. Use a single room and pay the single room surcharge
2. Share a triple or quad room (if available), in which case the adult surcharge will be refunded to the responsible party
3.  If an adult chaperone cannot room with another adult because of an odd number of adults or a mismatch of gender, then there is no charge for the chaperone
4.  If a full-paying adult cannot room with another adult because of an odd number of adults or a mismatch of gender, then a single room surcharge will be applied
3. If your group is traveling with another group(s):

1. All participants (including adults, discounted participants, and students) are expected to minimize the number of requested rooms and may be required to share rooms with other registrants from other group(s)
2. Your Account Support Representative will contact you to discuss the room list if you are combined with another group.
3. If any adults CHOOSE a single room or to room only with participants from your school, additional room surcharges will apply. 

4. Should cancellations occur where we can consolidate rooms, your Account Support representative will contact you.

STUDENTS  

1. Place all full-paying students in quad rooms (4 students per room) unless they have paid the single, double, or triple occupancy price
2. Students of the same gender should room together
3. No student should be in a room alone unless they have specifically requested and paid for a single room and sign a liability waiver
4. In the event you have an uneven number of students
1. Maximize the use of quad rooms
2. Then use double or triple rooms. (There are no surcharges for these circumstances provided you maximize the number of quad rooms and are not traveling with other groups)

5.  If your group is traveling with another group(s):
1. All participants (including adults, discounted participants, and students) are expected to minimize the number of requested rooms and may be required to share rooms with other registrants from other group(s)
2. Your Account Support Representative will contact you to discuss the room list if you are combined with another group.
3. If any students CHOOSE a single room or to room only with participants from your school, additional room surcharges will apply. 
6. Should cancellations occur where we can consolidate rooms, your Account Support representative will contact you.

*Single room requests are based upon hotel availability.  Participants will receive a refund if we cannot accommodate their request. If full-paying students CHOOSE to stay in a single, double, or triple room whether with other students, parents or adults, all participants in that room will be charged according to their occupancy.
